Defining strategic advantage on facilitating interaction among C-level executives, government officials and foreign delegates

In an effort to partner with India for innovative energy solutions, the U.S. Trade and Development Agency conducted a two-day conference-cum-workshop in Mumbai regarding Energy Storage and Smart Grids which discussed best practices, policies and financing options with respect to energy efficiency and renewable energy.
The aim for this marquee event was to provide a platform primarily for government officials and C-level executives and bring about an intelligent conversation and initiating a more co-operative environment for energy generation. Several government entities from both the U.S. and India were present for the event including the U.S. Embassy, U.S. India Business Council and the American Chamber of Commerce.
Going above and beyond a typical event management company and envisioning an environment for stimulating information-sharing, we began on the project leveraging our experience in space and floor design planning. Using cabaret seating, we facilitated crowd-flow and interaction while maintaining focus on the podium. The next step was to craft an immersive experience for the keynote speakers, panellists and officials present. Maintaining a clear well-branded set design that reflected the client’s concept was of utmost importance.
Keeping in mind the size and scale of the venue, we focused on management of branding and visibility. From the registration desk to microphone flags and the podium, every element had crisp branding which highlighted the presence of clients as well as sponsors throughout the event.
Engagement between the stakeholders of these various forums was quintessential to the success of the event. Frequent networking sessions were interspersed throughout the agenda which helped delegates discuss the topics at greater length while the information was still fresh in their minds.
The main event saw keynote speakers from prominent organizations including Mahindra and Mahindra, Tata Power, IL&FS Energy Development and Yes Bank imparting their precious knowledge and expertise to the rest of the attendees. The experience was thoroughly well-received by the client as well as the attendees with them commending us on our attention to detail and proactive management to deliver a new experience from usual corporate events.
